This position provides executive administrative and business management support to the President and CEO and our Senior Account Executive. It requires a high level of initiative to handle a wide variety of administrative support duties, managing appointment schedules, preparing correspondence and assisting with special projects. The ability to interact confidently and professionally with others in a fast paced environment, sometimes under pressure, remaining proactive, resourceful and efficient, with a high level of confidentiality is crucial to this role. Clerical in nature, the Executive Assistant is a strong administrator and business professional with a common sense approach that helps keep the President and CEO well supported. This person must be exceedingly well-organized, personable, professional, business-minded, flexible and enjoy the administrative challenges of the role.
 
Job Requirements  

Primary Responsibilities Executive Administration:

  • Demonstrate a high degree of professionalism and initiative in supporting the President and CEO and our Senior Account Executive on a wide variety of clerical and administrative initiatives
  • Prepare, edit, and proofread correspondence, presentations and reports, with a high level of English language proficiency and attention to detail
  • Promptly receive and screen incoming telephone calls, providing friendly and professional greetings, taking messages/responding as appropriate, and eliciting necessary information to allow timely and accurate responses
  • Screen and distribute incoming email, responding where appropriate
  • Maintain iCal and other schedule calendars up-to-date and schedule appointments, organize meetings and other special events in the company
  • Develop and maintain a well organized filing system that permits easy reference and rapid retrieval of information, as needed
  • Exercise common sense and good judgment at all times, recognizing scope of authority and protecting the confidentiality of sensitive business information
  • Write reports, prepare summaries and conduct special research projects
  • Arrange both business and personal travel, hotel, and car reservations
  • Order and maintain supplies and equipment on behalf of the President
  • Track availability of Management Team members and those who are traveling on company business
  • Attend meetings, participate, record, prepare and distribute meeting notes
  • Apply creativity and graphics design skills to prepare documents as required
  • Encourage and support wellness initiatives for the President, including attending to dietary needs

Office Administration:

  • Be familiar with the telephone and fax system and billing – Primary Rate Interface, headsets, voice mail, extensions, DID’s, toll-free #s, speed dial
  • Utilize technology with efficiency and accuracy and superb attention to detail
  • Demonstrate advanced computer on Mac, including Word, Excel, PowerPoint, Indesign and other graphics programs
  • Format and manipulate complex formulas in Excel Financial Administration
  • May assist in completing payroll
  • Apply general accounting skills to assist with record keeping
  • Provide back-up coverage to accounting

Customer Service:

  • Provide excellent customer service on the phone, emails and in person with quick, accurate responses pertaining to arrangements and special requests
  • Maintain a positive composure and helpful demeanour
  • Promote a culture of service excellence amongst internal and external PRIME stakeholders including external clients and internal colleagues
  • Develop a positive rapport with others and maintain professional relationships both internally and externally
  • Support and adhere to the company mission, vision and principles

  • From time to time, other ad hoc related duties may be assigned at the sole discretion of the company

Other Mandatory Requirements:

  • Previous experience in a professional administrative office environment with at least 2 years previous experience supporting at the executive level
  • Demonstrated understanding for our industry and a project based environment
  • Friendly, relationship focused personality is key - must be resourceful, friendly, able to work extremely well under pressure, have exceptional organization and priority management skills.
  • Must be personable, efficient and a quick learner
 
Salary $40 - 45,000 per annum +
