Operations Coordinator

Role Overview

The Operations Coordinator will be responsible for maintaining the production schedule in the system to provide visibility for DRP and MRP. The Operations Coordinator will work closely with the existing Operations Team to perform administrative duties, manage export orders and wine competition submissions. The Operations Coordinator will also be responsible for controlling inventory accuracy between warehouses.

Primary Duties and Responsibilities:

  • Ensure schedule is uploaded into the system for visibility of daily production plans as they are developed
  • Ensure schedules are delivered to the shop floor and pallet tags are generated for daily production
  • Verify production numbers on a daily basis
  • Process all finished goods production entries in the system to ensure accuracy of inventories
  • Investigate issues as they pertain to production reporting
  • Follow through to ensure all paperwork is received
  • Process D.O.’s and arrange shipments for product movements to outside warehousing
  • Arrange transportation where necessary
  • Process Direct Delivery and Library Stock transactions
  • Process Promo requests
  • Perform inventory counts and reconcile inventories for all finished goods and materials on site and at outside warehousing (MH/ALLBC/MBW) as required
  • Proactively resolve inventory discrepancies through investigation
  • Analyze inventory losses and track causes, costs – recommend improvements
  • Process all required inventory adjustments in the system
  • Assist Planning Manager and Operations Planner as required – Production Planning, Schedule Maintenance, Materials Planning, Wine Allocations, etc.

Manage Export Orders and Inquiries

  • Order processing, export documents and importer labels for shipments to the USA, UK, EU, Asia and other markets as appropriate
  • Communicate and deal directly with importers, distributors and brokers
  • Provide customer service in response to inquiries from individual consumers in the U.S. wanting to purchase our products and source a method of supply
  • Manage pricing execution and ensure that prices are consistent with annual P&L
  • Manage logistics and orders for Trade shows and wine competitions
  • Produce weekly status reports for ongoing activities – status of orders and samples
  • Coordinate all projects with internal and external partners

Payroll – provide assistance as back up where necessary
Provide assistance to VP Operations, Director of Operations and Planning Mangers as required

Job Requirements

Qualifications:

  • Attention to detail and strong analytical skills, with an emphasis on accuracy
