Job Description

Our NVO office is in search of a motivated and passionate individual interested in an Event and Tour Coordinator role. The Event and Tour coordinator and the General Manager work together to execute successful tour operations for the events. Duties are outlined below, and the focus is on building excellent relationships with suppliers in both villages (hotels, restaurants and attractions) as well as teachers/group leaders and our clients. The Event and Tour Coordinator will also qualify and provide quotations to new teachers interested in attending the festivals.

Responsibilities & Qualifications

RESPONSIBILITIES:

• Update weekly reports that are shared with sales managers and event founders.
• Qualifying interested group leaders and creating proposals as needed.
• Assist with tour package pricing by obtaining prices and completing sample costings, contracts and itinerary to be used in marketing.
• Update marketing materials annually with in- house marketing team.
• Assist with the contracting and payment of hotels/housing and restaurants.
• Monitor and manage hotel (housing) block and restaurant blocks to meet attrition, payment, and other deadlines.
• Coordinate hotels rooms (housing) for all Ellison and festival staff, sponsors, volunteers and adjudicator for both events.
• Creating and update email templates as needed and assisting with final accounting.
• On site for both festivals to assist and troubleshoot where needed (2 weekends each year in the Spring)
• Complete tasks by priority in a timely and accurate manner.
• Other duties as assigned.  

QUALIFICATIONS:

• Team-focused with ability to adapt and support change, solve problems creatively, and adjust approach as necessary.
• Passion and experience in travel an asset.

• Exceptional organizational skills with attention to detail and accuracy.
• Excellent communication skills (both written and verbal).
• Ability to work well under pressure and meet multiple deadlines in a fast-paced environment.
• High level of integrity, sense of accountability, and professionalism.
• Technological proficiency including MS office, and ability to adapt quickly to changing technology.
