Job Description

The Prestige Vernon Lodge and Conference Centre is considered to be Vernon’s most iconic hotel, known for its beautiful garden atrium. With more than 7,500 sq. feet of meeting spaces and the ability to host events for up to 700 people, it’s North Okanagan’s largest meeting and events venue.

The hotel is now recruiting for an exciting role that will play a key role in supporting the growth of business that supports all departments.

The Catering Coordinator at the Prestige Vernon Lodge and Conference Centre helps plan and execute meetings, events and conferences for our valued clients from across the city, province and country. Responsible for ensuring that all details of the hotel’s meetings and events are well organized, the position serves as the main liaison with our clients to ensure their events are a success.

Administrative duties include meeting/event/wedding banquet room bookings and their associated guest room bookings, as well as deposits/payments, and banquet event orders. The Catering Coordinator plays a key role in liaising with the food & beverage department to ensure that details regarding meetings and events are successfully communicated and well executed.

Reporting to the General Manager and working closely with the Regional Conference Sales Manager, the Catering Coordinator will also align efforts with the catering department and guest services team. The Catering Coordinator is trained in all duties of a Guest Services Agent to ensure a high level of guest services for all clients.

Responsibilities & Qualifications

Duties & Responsibilities:

– Serve as the main point of contact for catering, meeting, event, and group clients.
– Consult with clients daily to determine event requirements including menus, room layouts, timelines, and audiovisual needs.
– Coordinate the execution of service agreements and contracts issued by the Regional Conference Sales Manager.
– Research and qualify client leads to support the sales team’s business development efforts.
– Respond promptly to client inquiries via phone, email, or in-person visits; assist in creating proposals and contracts for smaller events.
– Conduct professional site tours of hotel facilities and meeting spaces.
– Manage event logistics including booking meeting rooms, banquet spaces, and guestroom blocks.
– Prepare and distribute detailed Banquet Event Orders (BEOs), invoices, and event summaries.
– Communicate proactively with the Executive Chef and F&B team to confirm menu details and ensure flawless service execution.
– Track deposits, monitor payments, and follow up on outstanding balances.
– Conduct post-event follow-ups with clients to ensure satisfaction and collect feedback.
– Collaborate regularly with the General Manager, Regional Conference Sales Manager, and Guest Services team to align on client needs and operational updates.

Additional Responsibilities:

– Oversee high-profile and VIP events, including weddings and large-scale functions, ensuring elevated attention to detail.
– Utilize Prestige’s catering management software to create, manage, and update event documents such as BEOs and invoices.
– Support banquet scheduling and staffing recommendations to ensure successful event execution.
– Lead weekly event communication meetings and participate in BEO reviews.
– Provide input and recommendations for updates to catering menus, collateral, and sales tools.
– Offer annual feedback to the F&B Operator regarding menu enhancements and event service improvements.
– Inspect and report regularly on the condition of meeting spaces, furnishings, and equipment to maintain presentation standards.
– Participate in the annual Prestige Convention & Sales Meeting and contribute to property-wide event initiatives.

Qualifications:

– 1–2 years of experience in hospitality, catering, or event coordination preferred.
– Strong organizational skills with exceptional attention to detail.
– Excellent communication and interpersonal abilities for client relations and team collaboration.
– Proficiency with event management software and Microsoft Office Suite.
– Ability to multitask and manage competing priorities in a fast-paced environment.
