Reporting to the Director of Sales, Meetings, Conventions & Events (MC&E) this position plays a key support role for Destination Vancouver’s Convention Services and Destination Events departments.
Convention Services support the success of confirmed meetings and conventions in Vancouver. Destination Events focuses on attracting and growing sport & cultural events for Vancouver, continuing to build and leverage the city’s global reputation as a desired event and sport destination.
The Coordinator role focuses on client, member and partner communications, event evaluations & bid support, internal and external reporting, account and booking management, administrative support and project management assistance. Essential to success are effective task management, communication skills both oral and written, and relationship building with Destination Vancouver team members, clients, members and partners.

Expected salary range: $54,000 – $58,000

Responsibilities & Qualifications
STRATEGIC ACCOUNTABILITIES:
Assist in building strong relationships with meeting, convention & events clients.
Deliver on the commitment to the highest levels of dedicated service excellence in supporting clients and Destination Vancouver’s members and partners.
Support development and engagement with key stakeholders, event organizers, and producers that are part of Vancouver’s events ecosystem.
Support and coordinate the maximization of Vancouver’s event hosting opportunities for major sport and cultural events
Maintain an exceptional level of knowledge regarding Destination Vancouver member products and services as well as overall destination expertise.
KEY RESPONSIBILITIES:
Convention Services
Assist confirmed meeting & convention clients as they navigate the destination including identifying and connecting them with suitable venues, suppliers, restaurants etc.
Prepare client site itineraries with hotels, off-site venues, transportation and other Destination Vancouver members. Review final itineraries for accuracy and confirmation of all arrangements if needed.
Support clients, members and partners, in providing information on customs and immigration, Canadian Border Services Agency, Canadian Temporary Resident VISAs, work permits, and GST rebates related to the client’s Vancouver conference.
Provide support in organizing the Destination Vancouver Delegate Desk during client conventions in Vancouver.
Support post event audits including attendance metrics and legacy reports
Destination Events
Research and identify new event opportunities that have potential to compliment and add to Vancouver’s event calendar with a priority on non-peak season (October to April).
Coordinate key business development activities including client hosting, site visits, and stakeholder engagement opportunities
Support event evaluations including development of economic impact reports to support strategic investments in destination events, working alongside key partners such as Sport Hosting Vancouver and the Vancouver Hotel Destination Association.
Assist in bid development for major sport or cultural events including collating hotel RFPs, stakeholder support, venue information from key partners etc.
Assist in delivering against Destination Vancouver’s partnership rights & benefits as part of the organization’s partnership/sponsorship agreements with events
Ensure accurate tracking, reporting and measurement of Destination Events
Other Responsibilities
Ongoing identification, development and monitoring of Destination Vancouver’s event sales and marketing goals and objectives and the delivery of strategies and tactics.
Develop proficient use of Destination Vancouver’s CRM – account database management software – Simpleview. CRM training will be provided.
Communicate with clients and stakeholders, manage outreach and follow up in a timely, proactive and accurate manner, documenting all.
Other duties may include organizing and delivering welcome amenities, shipping, preparing courier packages for tradeshows & activations, data entry.
Support overall MC&E team and department administrative needs.
WHAT ARE WE LOOKING FOR?
Experience in a sales and marketing organization, events, sponsorships or partnerships, tourism related business, or meetings and conventions industry is an asset.
Knowledge of the Metro Vancouver tourism and/or events community; passionate about Vancouver as a meeting, convention, and event destination.
Excellent attention to detail and understanding of high-level customer service.
Ability to meet deadlines and prioritize multiple tasks in a fast paced, ever-changing environment supporting multiple managers.
Ability to be proactive including anticipating internal colleague and external client needs.
Demonstrated strong organizational, time-management and project management skills.
Excellent verbal and written communication skills.
Proven ability to work independently and as part of a team.
Professional with a positive attitude.
Strong working knowledge of Microsoft office applications. Strong willingness to learn and adapt to new opportunities and technologies.
CRM technologies experience is an asset.
Post-secondary education in tourism, business, marketing or related discipline and/or equivalent experience.
Ability to speak other languages is an asset.
