Job Description

The Payroll Clerk is responsible for assisting with the accurate and timely processing of payroll and providing support for various accounting functions. This role works closely with the Finance and HR departments to ensure smooth payroll operations.

Key responsibilities include maintaining employee records, verifying timesheets, calculating wages, and ensuring compliance with all applicable laws and company policies. The Payroll Clerk also prepares tax forms, reconciles payroll reports, assists with audits, and responds to employee inquiries regarding their pay.

Responsibilities & Qualifications

Key Responsibilities:

Process payroll on a regular schedule (bi-weekly).
Collect and verify employee timesheets, ensuring accuracy and compliance with company policies.
Calculate wages, overtime, bonuses, deductions and withholdings as applicable.
Maintain and update employee payroll records, including new hires, terminations, and changes in pay.
Ensure timely submission of payroll data to relevant authorities and financial institutions.
Ensure accurate submissions of Record of Employment data.
Respond to employee inquiries related to payroll and resolve any discrepancies.
Prepare reports on payroll expenses and taxes.
Assist with year-end reporting including T4s and other required documents.
Stay updated on changes to payroll regulations and tax laws.
Reconcile payroll reports to ensure accuracy, prepare financial records and schedules, and provide relevant reports to the finance department.
Assist with internal and external audits by providing necessary payroll and accounting documentation
Qualifications:

Minimum of 1-2 years of experience in payroll processing or related administrative roles in a fast paced and multi unionized environment.
Experience using Sage ERP or Adagio Software considered an asset.
Proficiency in payroll software (e.g., Day Force-Time and Attendance/Ceridian, or other cloud-based payroll platforms) and Microsoft Excel.
Strong understanding of payroll practices, employment laws, and tax regulations.
Excellent attention to detail and strong organizational skills.
Ability to maintain confidentiality and handle sensitive information.
Effective communication and problem-solving abilities.
Ability to meet deadlines by working independently and as part of a team
Strong data processing and analytical skills
Education:

High school diploma or equivalent required; associate’s degree in accounting or a related field preferred.
Certified Payroll Professional (CPP) designation or working towards certification.
Preferred Skills:

Experience in a multi unionized environment or with multi-provincial payroll.
Knowledge of Canadian payroll legislation.
