Job Description
JOB DESCRIPTION
We are seeking a highly detail-oriented, proactive, and guest service-focused Travel Specialist to support our guests, Trip Leaders, and leadership team. This role combines guest services, operations coordination, and travel reservations. The ideal candidate thrives in a fast-paced environment, communicates clearly, and delivers consistently exceptional guest service.
This role reports directly to the Senior Guest Experience Manager.
KEY RESPONSIBILITIES
Guest & Trip Leader Travel Coordination
• Reserve all guest pre- and post-trip hotel accommodations.
• Book all extension flights for guests.
• Reserve activities, local guides, ferries, and trains.
• Complete restaurant selection and reservations.
• Reserve all Trip Leader pre-trip hotel accommodations.
• Support for booking Trip Leader and guest flights when needed.
Guest Experience Coordination
• Create and send all guest photo books for each trip.
Operations Support
• Provide operations assistance, including managing rooming lists and booking group flights.
• Participate in a weekly rotation for after-hours emergency support.
Communication & Support
• Manage live chat, phone calls, and email inquiries during scheduled hours (Tuesday–Saturday, 7 am–3 pm PST).
• Provide timely, accurate, and friendly support to guests and internal teams.
Responsibilities & Qualifications
QUALIFICATIONS
• Minimum 5 years of experience in guest service, preferably in travel, tourism, or hospitality.
• Exceptional organizational skills with the ability to manage complex logistics and multiple tasks simultaneously.
• Impeccable attention to detail, particularly when handling guest information, flights, and itineraries.
• Strong written and verbal communication skills for effective collaboration with vendors, partners, and internal teams.
• Proficiency with Google Workspace tools (Docs, Sheets, Drive) and the ability to quickly learn operational systems.
• Proven ability to work collaboratively with cross-functional teams, such as guest services and operations.
• Problem-solving mindset with the ability to adapt quickly to changing circumstances.
• A proactive approach to managing deadlines and ensuring seamless operational execution.
• Passion for travel and commitment to providing exceptional experiences for LGBTQ+ travelers.
